The Value of a Process Picture Map (PPM)

The value of an easy-to-follow procedure becomes evident when the procedure is not followed and a mistake is made. Time, money and effective delivery of the "best know way" are crucial to the bottom line. Process Picture Maps (PPMs) will:
1) Impact continuous improvement efforts
2) Identify and eliminate non-value added activities
3) Increase productivity efforts
4) Reduce on the job training, and
5) Bring awareness to all employees as to how departments are interrelated.

The Process Picture Map (PPM) is a 1-page, 2-sided, step-by-step guide (with pictures) that captures the "Best Known Way" to do something. PPMs are used to effectively communicate a process in a simple and logical way. The PPM may be attached to a monitor or machine in a workspace and/or placed on an intranet system.

Two (2) PPM samples are available for your review: The first is a Physical Operation and the second is Computer/Data Entry Operation. While reviewing the PPMs, please consider the following beneficial applications of Process Picture Maps.

    1. Quick reference guide for a new machine, tool or process.
    2. Provides large pictures of the machine set-up with labels to specify parameters, equipment and machine details.

    1. Quick reference for employees in an emergency situation.
    2. Effective training tools for new staff orientation.
    3. Valuable auditing tool for any process in any department.

  • 1st Article, Quality Assurance Processes/Best Practices
    1. Easy to follow steps (WITH PICTURES) to perform data entry processes.
    2. Excellent training tool - supervisors / trainers use PPMs to train others on how to perform a specific task. Available in Spanish, Polish and other languages, too!
    3. Cross training tool for new employees or someone moving to a new position.

  • Just in time Training and Auditing -
    1. A quick verification for staff and supervisors that processes are consistent and correct.
    2. Excellent just-in-time training tool for new staff and for cross training of personnel.
    3. Valuable auditing tool to aid employees during an audited. The PPM can include QS, ISO, standardized checklists and locator cues for required documentation.
