In House Supply Requisition

Central Services oversees the distribution of all mail and packages.
  • Some supplies are maintained on-site and can be ordered on the In House Supply Requisition.
  • A wide variety of office supplies can be purchased from Staples, the College's office supply contractor via E-Way. The following are instructions for accessing the E-Way system.
  1. Click on the icon "My Computer" on the desktop or "My Computer on Oakton's Home Page.
  2. Login using your regular signon and password.
  3. Click on the Employee Tab.
  4. Click on Staples - E-Way (at the bottom left side of the screen).

Services

U.S. Mail Service: Mail is received from the Post Office twice daily at 6:30 a.m. and 9:00 a.m.
Interoffice and U.S. Mail Distribution: Mail is distributed and picked up three times a day. 8 a.m., 11 a.m. and 2:30 p.m. on both campuses.
Central Services processes the outbound U.S. mail and departments are charged accordingly. The mail is then picked up by an outside source. Please be sure to indicate your department name in the return address.
Mail Processing Regulations
  1. There are six types of mail processed by Central Services.
    1. First class letters
    2. Flats
    3. Priority
    4. Post Cards
    5. International
    6. Catalog address labels
  2. When doing a mail project that has eight (8) or more of the same pieces, the pieces must be bundled and rubber banded or clipped together.
  3. Due to the volume of mail generated, each department is responsible for making sure all bundled mail has the addresses facing up and forward for proper metering. If they are found otherwise, the mail will be returned with an explanation.
  4. Bundled #9 or #10 envelopes must be sleeved/fanned for proper processing.
  5. All flats and priority mail must be sealed.
    In addition, #9 or #10 envelopes with four (4) or more sheets must be sealed.
  6. International mail must be kept separate from all other mail and each piece must have a Par Avion sticker in the lower left hand section.
  7. Regular daily mail pick-ups are scheduled at 8 a.m., 11 a.m. and 2:30 p.m.
  8. All regular mail must be in Receiving by 2:30 p.m. each day for same day processing because the mail pick up service arrives at 3 p.m.
Intercampus Courier Services: The Courier leaves for the Ray Hartstein Campus twice daily, at 8:30 a.m. and 1:30 p.m.
Receiving of Inbound Packages: All shipments are received and distributed college-wide through Central Services. This includes purchase orders, personal packages as well as any other college related material.
Shipping of Outbound Materials:
  1. U.S. mail leaves at 3:00 p.m. (must be in Central Services by 2:30 p.m.).
  2. UPS leaves at 3:30 p.m. (must be in Central Services by 3:00 p.m.).
College-wide Inventory and Storage: Central Services is responsible for the storage and disposition of all computers and furniture as part of the capital equipment inventory.
Liaison for the Staples E-Way Program: The Receiving Supervisor assists in timely billing, credit issues and is the mediator between Staples and Oakton Community College. If you need help finding an item, please call Steven Amari at x1651 or email stevea@oakton.edu
In-House Supplies: Central Services carries in-house supplies such as copier paper and other related items. Click on the following link to go to the In House Supply Requisition
Oversee Recycling Program: Central Services coordinates the disposition of recycled materials such as paper, corrugated boxes and grease products from the cafeteria.
Inserting and Folding Mail: Central Services is responsible for inserting and folding all payroll checks on a bi-weekly basis. Tuition bills are folded and inserted on a daily basis. Other jobs are done college-wide. The folding machine can fold two 8 1/2" x 11" pieces of paper as well as insert an envelope. It saves the College time and money related to costs associated with time spent hand-stuffing envelopes.

Extra Services
Ship employee personal packages via UPS: All employees are allowed to ship personal packages via UPS. Payment must be made by check only, payable to UPS. Packages are accepted from 7:30 a.m. to 3 p.m. daily.
Send employee stamped mail: Employees are allowed to send their stamped mail through Central Services where it is verified for postage. In most cases, mail sent through Central Services arrives faster than if put into your local mailbox. Mail is accepted between 7:30 a.m. and 2:30 p.m.
